Vincia Software OPC (“Vincia”, “we”, “us”, or “our”) operates the Vincia platform, including the website vincia.app and all related services (collectively, the “Service”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.
By using Vincia, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.
2. Information We Collect
Account information
When you register, we collect your name, email address, and password (hashed). Business owners also provide a business name and time zone.
Client data
If you are a practitioner using Vincia to manage appointments, you may input your clients' names, email addresses, phone numbers, appointment details, and intake form responses. You are responsible for obtaining appropriate consent from your clients to share their data with Vincia.
Usage data
We automatically collect information about how you interact with the Service, including pages visited, features used, browser type, IP address, and device information.
Payment data
Subscription payments are processed by Paddle. We do not store your credit card details. Paddle's privacy policy applies to payment processing.
3. How We Use Your Information
- To provide, operate, and maintain the Service
- To send transactional emails (booking confirmations, reminders, cancellations)
- To respond to your inquiries and support requests
- To monitor and analyse usage to improve the Service
- To comply with legal obligations
4. Data Sharing and Disclosure
We do not sell your personal data. We may share information with:
- Service providers — Supabase (database & auth), Resend (email delivery), Paddle (billing), Vercel (hosting). Each operates under its own data processing agreement.
- Legal requirements — If required by law, court order, or to protect our rights.
5. Data Retention
We retain your data for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data by emailing support@vincia.app. Some data may be retained for legal or auditing purposes.
6. Security
We implement appropriate technical and organisational measures to protect your data, including encryption in transit (TLS) and at rest, row-level security on our database, and access controls. No method of transmission over the internet is 100% secure.
7. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, or delete your personal data, restrict or object to processing, and data portability. To exercise these rights, contact us at support@vincia.app.
8. Cookies
We use essential cookies for authentication and session management. We do not use tracking or advertising cookies.
9. Children's Privacy
The Service is not directed to individuals under 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.
